By-Laws

1) The Sunset Ridge Ladies Tennis Advisory Committee shall
be composed of seven voting members and two non-voting members:
one representative with a NTRP rating
of 2.5
one representative with a NTRP rating
of 3.0
one representative with a NTRP rating
of 3.5
one representative with a NTRP rating
of 4.0
three at-large representatives
Sunset Ridge Tennis Director (non-voting)
Sunset Ridge Head Tennis Professional
(non-voting)
2)
The members representing NTRP ratings shall be
elected by secret ballot at the Sunset Ridge Pro Shop or via email
( tennis@sunsetridgeclub.com
) by the ladies participating on the
previous spring's ladies teams. Each lady may vote for one nominee
at each NRTP rating. Elections shall be held between April 15 & August 15 of each year. A slate of nominees will be advertised
with a period of at least one week for each lady to cast her secret
ballot at the Sunset Ridge Pro Shop or via email ( tennis@sunsetridgeclub.com
). The Tennis Director and/or Tennis
Professionals at Sunset Ridge shall tabulate all ballots. The
nominee with the most votes at each rating level will be elected.
In the event of a tie, a coin toss will be used to determine the
winner. The Tennis Director and/or Tennis Professionals at Sunset
Ridge shall select the three at-large members. The term for all
members shall be for approximately one year following the election.
No term limits shall apply to a committee member. If an elected
member cannot complete her term, the committee will select a replacement.
If an at-large member cannot complete her term, the Tennis Director
and/or Tennis Professionals at Sunset Ridge will select a replacement.
3)
At the first meeting following election, the Sunset
Ridge Ladies Tennis Advisory Committee shall elect a Chairwoman
and Secretary to serve for the coming year. The Chairwoman will
lead each meeting and assist the Tennis Director and/or Tennis
Professionals in setting the agenda and meeting dates. The Secretary
will record minutes and assist in corresponding with committee
members. Each voting member shall have one vote on any issue that
is brought before the committee. The committee must have a quorum
of four members in order to vote on general issues. The Tennis
Director and/or Tennis Professionals at Sunset Ridge shall have
veto power over any decision deemed to be in conflict with the
best interest of the club.
4)
The Sunset Ridge Ladies Tennis Advisory Committee
shall make recommendations and oversee the ladies tennis program.
The Committee will publish the guidelines for selection and organization
of the ladies tennis teams. These guidelines may be amended at
the committee's discretion, but require a special voting quorum
of at least five voting members.
5)
The Sunset Ridge Ladies Tennis Advisory Committee
shall meet as required to complete selection of spring and fall
teams and at other times deemed necessary by the Chairwoman or
Tennis Director and/or Tennis Professional.

Guidelines
for Ladies Tennis Team Selection and Organization

1)
The Sunset Ridge Ladies Tennis Advisory Committee
(LTAC) shall set a sign up period for the spring and fall season
for ladies tennis teams that shall consist of a minimum of ten
days. This period will be set with consideration for the deadlines
for team entry and roster submission. Club newsletter, web site,
e-mail, phone, and/or club postings shall publicize the dates
of this period.
2)
USA Tennis League & Southern Combo Doubles
teams shall be offered for those players wishing to play in a
more competitive environment. Team captains and co-captains shall
be instructed to base match line-ups on strength, while still
attempting to let all players participate during the season.
3)
Capital League teams shall be offered for those
players wishing to play in a more social environment. Team captains
and co-captains shall be instructed to base match line-ups on
a rotation of all players, while still attempting to order the
players each week by strength.
4)
Each player shall be required to sign up for teams
at her current NTRP rating by the published deadline in person
at the Pro Shop or via email ( tennis@sunsetridgeclub.com
). Players signing up after the deadline
shall be placed on teams as space permits with no guarantee of
participation. No player may sign up for two teams that play on
the same day without a waiver from the Sunset Ridge Ladies Tennis
Advisory Committee (must be requested during the sign-up period).
4)
A player may request on the sign-up form to play
above her current NTRP rating instead of playing at her rating.
The Sunset Ridge Ladies Tennis Advisory Committee shall accommodate
these requests only if space on the upper level exists and removal
of the player from the lower level will not injure the lower level
team (provide too few players, eliminate a team for other players.
etc.). If multiple players request to play up and only limited
spots are available, the Sunset Ridge Ladies Tennis Advisory Committee
shall decide which player(s) may play up.
5)
A player may request on the sign-up form to play
above her current NTRP rating in addition to playing at her rating.
The Sunset Ridge Ladies Tennis Advisory Committee shall accommodate
these requests only if space on the upper level exists with the
understanding that the player will be available for the majority
of matches at both levels. If multiple players request to play
up and only limited spots are available, the Sunset Ridge Ladies
Tennis Advisory Committee shall decide which player(s) may play
up.
6)
If a player does not adequately fulfill her commitment
to a team, the committee may apply sanctions for the next season
and beyond at their discretion.
7)
The committee shall divide sign-ups into teams
based on strength if more than one team will be formed at a given
level per type of league (three USA Tennis League teams at 2.5
level will be assembled with a strongest team, second strongest
team, etc.).
8)
Each team shall elect a captain and co-captain
at a team meeting as soon as possible after selection of teams.
Each team member shall be notified of the team meeting and have
an opportunity to vote by proxy if she cannot attend. The captains
shall fulfill the duties in the captain's guideline addendum.
9)
Any appeals may be made in writing to the Committee
within 7 days of team selection. The committee's decision is final.
10)
The Sunset Ridge (LTAC) shall have the authority
to place, rank, and divide players into teams at their discretion.
11)
A substitute player (sub) may only play in a match
if all regulars available are playing and a position would have
to be forfeited without the subs participation. The sub may play
at any position as determined by the captain(s) in order to order
the lineup by strength. No subs may be placed on a roster without
the prior approval of the SR LTAC. Subs will not be charged a
team fee.
12)
If circumstances dictate that a sub must play a
substantial amount of matches, the captain(s) may petition to
the SR LTAC in writing to consider the player a regular team member
for the remainder of that season.
13)
Each player must pay all applicable team fees before
the first match in order to be eligible to play.
